General
Information
This screen function is included when the optional List Management Module is installed with
your M.O.M. system. The function enables you to create a customized
database and corresponding data collection screens for specific
information related to your customers. The customized customer
database is stored by M.O.M. in a file called DEMGRAPH.DBF. As many
as 99 different screens of information (or a total of 254 data
fields), each with their own title and content, can be created. The
fields that you create can be used to collect such information as
customer birthday, hobbies, color preference, recreational
activities, clothing size, etc. This function is extremely
flexible, and data entry fields can be structured as yes/no
(logical) questions, numeric, character, free form, or multiple
choice (pull-down) variables.
Once the screens (called pages) are created, they are accessed for
data entry and/or review in the Customer Information - Demographics
screen. Customer demographics data can be studied and used for
target list building using the Demographics Query Builder option of the
List Management Module. They can also be used as "key words" when
creating Customer Notices.
How to
Use the Demographics Definition Screen
All of the items on the demographic screens, as well as their
position on the screen, color and database variables are under your
control. The creation process is entirely graphical and the
Demographics Definition Tool Bar makes it easy to add new pages,
new screen text as well as four different types of data fields to
your customized customer information database.
Using the Tool Bar
The Tool Bar contains the following options. The Text Option is
used to add only screen text without adding any field to your
customer demographics database. The Data Field options are true
information fields that are added to your customer demographics
database.
Text
Option
Add New Screen Text: Lets you
add whatever text you want to the screen. This text might be a
screen prompt name for a data field, or instructions or guidelines
for your customer service staff. The instructions can take the form
of actual text (Ex: Enter information for all of the red fields on
this screen!) or even lines made out of characters (Ex:
------,+++++,*****, etc.) drawn on the screen to separate screen
sections and/or fields.
Data
Field Options
Add a New Character, Numeric or
Date Data Field: Lets you add a "fill in the blank" type data field
to the screen. This field can be numeric (Ex: Customer's Age), a
date (Ex: Customer's birthday), or character (Ex: Customer's
spouse's name.)
Add a New Logical Data Field:
Lets you add a "Yes/No" type data field to the screen. For example,
"Do You Like to Play Baseball." On the screen, a logical field is
automatically formatted as a check box and can be set to indicate
either an affirmative (Yes) or negative (No) default value when
checked.
Add a New Memo Data Field: Lets
you add a large free-form scrollable field to the screen to collect
information. For example, the screen prompt might say "Additional
Information about the customer." A Memo Field would enable the
customer service representative to add additional information in a
free-form scrollable field.
Add a New Dropdown Data Field:
Lets you add a traditional Windows-style choice box with preset
choices. For example, the screen prompt might say "What is Your
Favorite Color?" The dropdown box could contain - green, red,
yellow, blue, orange, etc.
Page
Options
Add a New Page: Lets you add a
new demographics page.
Modify This Page Title: Lets you
change the title of the page.
Add a new image to the page. Any
image can be inserted on the page in any file format.
Note: You can move the tool
bar anywhere on your screen by dragging and dropping the tool bar
with your mouse.
Creating a New Page

On
the demographics maintenance tool bar, click on and answer "Yes" to the prompt
"Do You Want to Create a New Page?"

On
the demographics maintenance tool bar, click on to display the New Page title
pop-up screen and type in the page title.
Retitling an Existing Page
On
the demographics maintenance tool bar, click on to display the New Page title
pop-up screen and type in the new page title.
Deleting an Existing Page

If
there are items on the page, delete all of the items from the page
first. (See the instructions below for Deleting a Field from a
Demographics Screen.)

SAVE the page. The blank page is deleted.

If
there are no items on the page, just SAVE the page. The blank page
is deleted.
Adding Text or a Prompt for a Data Field
Note: Remember, text is
just words or lines (====, -----, etc.) on the screen. In some
cases the text is a set of instructions for your customer service
representative, in other cases the text is the screen prompt for a
data field that you create. (See the instructions below.)

On
the demographics maintenance tool bar, click on to display the Demographic Text
or Prompt Edit screen.

Type the text as required in the LABEL TEXT field and select the
color for display on the demographics screen.

Press SAVE to return to the Demographic Definitions screen. The new
text item is displayed in the upper right corner of the screen.

Drag and drop the new item where you want it on the screen using
your mouse.
Adding New Data Fields to a Demographics Screen Page

On
the demographics maintenance tool bar, click on , , , or to display the Demographic Item Edit screen for the
type of data field to be added.

Complete the appropriate fields on the Demographics Item Edit
screen and press SAVE to return to the Demographic Definitions
screen. The new item is displayed in the upper right corner of the
screen.

Drag and drop the new item where you want it on the screen using
your mouse.

To
add a prompt for the new data item, follow the instructions above
for Adding Text or a Prompt for a Data Field. Note: For logical data items, you do
not have to complete this step because you can add the text label
right in the Demographic Item Edit screen.
Modifying Existing Text or a Field on a Demographics
Screen

Right click on the item on the screen to display the Demographics
edit screen.

Edit the item attributes for the item as required. When complete,
press SAVE to return to the Demographics Definitions screen.
Note: To reposition an item
on the screen, just click on the item and drag and drop it with
your mouse to the new position.
Deleting a Field from a Demographics Screen

Right click on the item on the screen to display the Demographics
edit screen.

Press DELETE to return to the Demographics Definitions screen.
Adding or Deleting a Graphics Image on a Demographics
Screen

To
add an image, press and select the image file name
to be added.

To
move the image, drag and drop the image with your mouse.

To delete an image, select the image
and press DELETE.
