Order Entry - Entering Line Items

General Information

Working in the Line Item Grid area of the order entry screen is just working on a piece of paper. Line items are entered in the grid area and additional information on each item is displayed and edited in the Line Item Detail tab. Whenever you begin working in the Line Item Grid, M.O.M. automatically brings the Line Item Detail tab screen forward.

Please Note: Editing orders requires exclusive use. If someone else is either editing or processing this order, the Title bar will display a "Read Only" message next to the order number. You cannot make any changes while this message is displayed. To gain access to this order, close it and reopen it when the other user has finished accessing it.

Note: You might want to work in the "Full Screen" mode when entering many items as more of the grid is displayed. Click on the Momhelp00000143.gif button on the tool bar. To return to the normal screen mode, click on the Momhelp00000144.gif button.

How to Enter Stock Items

Entering Stock Items That You Know

If you know the stock number for the item, enter it in the ITEM field and press ENTER. The cursor moves to QTY. Enter the quantity ordered and press ENTER. M.O.M. displays the first line of the product description, unit price, and price extension. All other information is displayed in the Line Item Detail tab.

Entering Stock Items That You Do Not Know

If you do not know the complete stock number for an item, but only the starting letter(s) or number(s), enter what you know and press ENTER. M.O.M. displays a list of matches from which you can select the correct item.

If you do not know the stock number for the item at all, leave the field blank and press [F2] to display the Stock Item Look-Up Screen. This screen enables look-up of the stock number using other information about the item, such as Description, Supplier Stock Number, Price, Supplier, etc.

Entering New Inventory Items "On-the-fly"

To set up a new stock item, enter the new stock item code. M.O.M. asks "Add A New Stock Item?". Answer Y to set up the new stock item, and transfer to the Maintain Stock Items function to set up the new item and establish starting inventory.

Entering "One-Shots"

A one-shot item is an item that applies only to the order being entered. No inventory is established and it is not set up as a stock item in the M.O.M. stock file. To enter a one-shot, leave the ITEM field blank, and press ENTER or TAB. Enter the quantity (Qty) and press ENTER. In the Line Item Detail tab, select the PRODUCT TYPE and TAX STATUS for the item, and enter the description for the item in the CUSTOM INFORMATION field.

Editing Stock Items

To change an item, position the cursor on the item to be changed and press the RIGHT mouse button to open the field. Make the changes as required.   If there is a ship-to or gift-to address, the name will be highlighted in the list.   Note: An item in the following statuses can be changed: CM - committed, PB - partial backorder, BO - backorder, ND - not dropped, HS hold to ship, HC - hold to commit.   Also, a gift certificate that has been printed cannot be changed.

Editing Quantity, Unit Price, or Discount

To change the quantity, unit price, or discount for an item, you can use your mouse or the keyboard.

Mouse

Position the cursor on the column to be changed and press the RIGHT mouse button to open the field. Make the change as required.

Keyboard

Pull down the Item Edits Menu from the Action Bar and select the edit option to open the field. Make the change as required.

Editing the Pick Location for an Item

If an item backorders in its current warehouse location, you can change the pick from location to try to fill it from another location. Use the pull-down menu for Pick Location to make your selection. Included in this list are any suppliers that may have been set up to drop ship the item for you as well. If an item is unavailable in-house, you can select to have the supplier ship it directly to your customer for you. Drop shipping must be set up in advance for an item to enable this selection.

Selecting a Special Shipping Method for an Item

M.O.M. enables you to select one shipping method for the entire order. However, periodically, you may need to ship one or more items in an order priority or via another carrier. To select a special shipping method for an item, use the Special Shipping Via pull-down menu to make your selection.

Customizing the Description for an Item

To enter an extended or special description for an item, select the item and position the cursor on the CUSTOM INFORMATION field in the Line Item Detail tab. Enter the special description.

Editing Other Information for Line Items

The Item Edits pull-down menu provides several options to edit and control line item information. The most often used of these options are also available on the five tool bar buttons at the top of the screen to the right of the status display.
